A visa file is a compliance document, not a form. These are the controls that keep ours defensible in front of a consular officer.

05 The process

From first call to passport collection.

The same six steps run for a single corporate traveller and for a fifty-person delegation. Corporate accounts receive a named counsellor and a consolidated tracker.

  1. Eligibility review. We confirm the category, the mission's current requirements and whether the destination is one we lodge or one we prepare.
  2. Document checklist. You receive a written checklist built for the traveller's profile, employment, sponsorship, invitation and financial evidence, not a generic handout.
  3. File assembly. Forms are completed, translations and attestations arranged where required, and supporting documents ordered the way the consular officer reads them.
  4. Pre-submission audit. A second counsellor checks the complete file against the mission's checklist. Gaps are closed before lodgement, never after.
  5. Lodgement and tracking. The file is lodged directly with the mission. Status is followed through the consular section and reported back to you.
  6. Collection and handover. The passport is collected under controlled custody and returned to the applicant or the corporate travel manager, against signature.

Corporate clients and diplomatic missions both audit how a travel agent handles personal data. These are the commitments we make in writing.

Controlled custody

Passports and original documents are logged in and out against signature, held secured at the Blue Area office, and never released to an unnamed courier.

Purpose-limited use

Personal, financial and biometric material is used to prepare and lodge the application, and for nothing else. Nothing is shared with a sub-agent.

Auditable handling

Handling sits inside our ISO 9001:2015 scope, which covers visa services alongside travel, hospitality and vehicle services, certificate QMS/PK/270806.

What corporate travel managers ask us first.

What exactly is a drop-box appointment? Accreditation, not agency

It is an appointment granted by the mission itself, allowing a named agent to receive, audit and lodge applications on an applicant's behalf. It is not a licence to influence a decision, and it does not shorten the mission's own assessment. What it does remove is the layer of sub-agents a file would otherwise pass through.

Can you guarantee the visa will be issued? The honest answer

No, and any agent who says otherwise should be treated with caution. Issuance is the sole decision of the mission concerned. What we control is the quality of the file: a pre-submission audit against the current checklist removes the avoidable reasons a good application gets refused.

How long does a decision take? Set by the mission

Processing time belongs to the consular section and varies by category, season and the volume in front of them. We confirm the mission's stated timeline when the case opens, follow status directly with the consular section, and tell you the moment it moves. We do not publish a turnaround we cannot control.

Can you handle a group or a delegation? Corporate and institutional volume

Yes. Delegations, conference parties, crew rotations and workforce mobilisations are run as a single case file with a consolidated tracker, one named counsellor and a scheduled lodgement window agreed with the mission. Ticketing, hotel and ground transport can be attached to the same corporate ledger.

Do you also arrange travel insurance? Medical and trip cancellation

Yes, worldwide medical and trip-cancellation cover is arranged alongside the application, which several missions require as part of the file. It is issued on the same corporate account as the ticket.

An application was refused. What now? Reapplication support

Bring us the refusal notice. A counsellor reads the stated ground, reviews what was submitted and advises whether the position is curable, what evidence would address it, and whether reapplying now or later is the sounder course. Where the mission offers a review or appeal route, we prepare that file the same way.
